Essential Duties and Responsibilities
The Juvenile Deputy Clerk Court is a duly sworn designee of the elected Clerk scheduling court events, attending and documenting court proceedings, drafting/processing orders requiring a high level of knowledge regarding court and courtroom operations and the Common Pleas Case Management System (CPCMS) to include – CPCMS navigation, case creation, recording case details/participants, docketing, recording outcomes, scheduling delinquency and dependency cases, and driver license forms processing. -
Office
- Identify documents, create batch headers and prepare filings for imaging
- Keep work area neat and clearly organized
- Clock-in, docket, record all motion/petitions filed, submit petitions/motions to judge
- Service copies and all orders to parties as directed. (District Attorney, Defense Attorney, Juvenile Probation, Public Defender, and Sheriff.)
- Docket all court activities and juvenile calendar data into web-based statewide Common Pleas Case Management System (CPCMS).
- Correspond with judges' judicial assistants and law clerks
- Prepare notes and files for all criminal proceedings
- Prepare, certify and submit appropriate documentation and forms to PennDOT
- Maintain court files/folders and keep case paperwork in order
- Image Documents, maintain records in the file room and accurately file paperwork numerically by year and case type
- Clock, sort and process incoming mail
- PC knowledge including Microsoft Office products and general office machines
- Other reasonable duties as assigned by Supervisor.
Court- Knowledge of courtroom procedures and terminology specific to Dependency (DP) and Juvenile (JV) docket types
- Attend all JV and DP court events to include Masters hearings as scheduling allows
- Capture outcomes for both juvenile dispositions and dependency determinations on form orders within CPCMS
- Review orders for completeness and accuracy
- Record attendance of all case participants present in Court within CPCMS to ensure accurate statistical reporting to the Office of Children and Families in the Courts
- Manage exhibits
- Swear-in all witnesses
- Obtain and be responsible for chain-of-custody for all evidence from hearings (drugs, money, weapons, etc.)
- Function as procedural and operational liaison, in the courtroom, between Judges, attorneys and case participants
- Responsible for accurate court notes/minutes.
- Adjust and maintain working knowledge of changing technology
